This Privacy Policy describes how Dean and Grey Care Services Inc (“Dean and Grey Care,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit https://www.deanandgrey.care, contact us, receive services from us, or participate in our SMS / text-message program. By using our website, contacting us, or providing your phone number to us, you agree to this Policy.

Who we are

Dean and Grey Care Services Inc is a California corporation that operates two Residential Care Facilities for the Elderly (RCFEs) licensed by the California Department of Social Services:

  • Dean Estate — 5214 North Avenue, Carmichael, CA 95608 (License #345002929)
  • Grey Manor — 5216 North Avenue, Carmichael, CA 95608 (License #345002933)

Information we collect

We only collect information that we need in order to communicate with you, provide care, and operate our business. Categories of information we may collect include:

  • Identifiers and contact information. Names, mailing addresses, email addresses, and phone numbers (mobile and landline) provided by residents’ family members, prospective residents, inquirers, and employees.
  • Signed consent forms. Paper intake and consent forms completed during onboarding, including the SMS-consent checkbox where applicable.
  • Resident-care information. Information necessary to provide safe care, such as emergency contacts, dietary preferences, mobility needs, and information about a resident’s physicians, home-health, and hospice providers. Resident-care information is not collected through this website.
  • Employee records. Information needed for employment, payroll, and timekeeping (including timesheet confirmations sent by SMS).
  • Website usage information. Standard server logs (IP address, browser type, pages visited). Our website does not currently use third-party analytics, advertising trackers, or cross-site tracking pixels.

Lawful basis for collection

We collect personal information based on (a) your explicit opt-in consent — particularly for SMS communications — (b) the contractual relationship with residents and their authorized representatives, (c) the employment relationship with our staff, and (d) our legal obligations as a licensed RCFE operator in the State of California.

How we use information

  • To respond to inquiries and schedule tours or consultations.
  • To provide, document, and coordinate resident care.
  • To send you communications by phone, email, or SMS that are directly related to your inquiry, your loved one’s care, or your employment with us.
  • To process timesheets and payroll for our employees.
  • To meet our legal, licensing, and regulatory obligations.
  • To maintain and secure our website and internal systems.

SMS / text-message program

Dean and Grey Care operates an SMS program through Twilio under the A2P 10DLC Low Volume Mixed use case. The program serves two audiences: (1) family members and authorized representatives of residents, and (2) employees of Dean and Grey Care Services Inc.

Message types sent under this program include:

  • Appointment and care reminders for families and authorized representatives.
  • Celebration and activity notifications about residents’ lives in our homes.
  • Timesheet confirmations and shift coordination for employees.

Message frequency varies; recipients typically receive a few messages per week. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages. Supported carriers include all major U.S. carriers (AT&T, T-Mobile, Verizon, and others).

How consent is obtained

We obtain SMS consent through one of three methods:

  • Signed paper intake / consent form completed during onboarding, with a dedicated SMS-consent checkbox.
  • Written request sent by email or direct message asking to be added to the program.
  • Verbal consent given in person or by phone, logged internally with the date and the staff member who received it.

How consent is stored

Signed paper forms are stored in locked physical files at our administrative office. Digital records of consent (including written requests and logs of verbal consent) are stored on access-controlled systems and are accessible only to authorized staff who need them to operate the SMS program.

How to opt out (STOP) and get help (HELP)

  • Reply STOP to any text message from us at any time to opt out. You will receive one confirmation message and no further messages from the program. Opt-out requests are honored promptly, regardless of channel (text, email, phone, or in person).

Mobile information sharing

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

HIPAA acknowledgment

As a Residential Care Facility for the Elderly, we may handle information that is health-adjacent (for example, scheduling medical appointments, coordinating with a resident’s home-health or hospice provider, or noting dietary needs). We are a non-medical RCFE and do not provide clinical services ourselves; clinical care is delivered by licensed third-party providers under appropriate authorization.

SMS messages sent under our program will not contain Protected Health Information (PHI) or detailed medical content. Reminders are limited to non-sensitive scheduling and operational information (for example: “Reminder: Mom’s family lunch is Saturday at noon” or “Your timesheet has been received”).

How we share information

We do not sell personal information. We share it only with:

  • Service providers and subcontractors that help us operate, including our website host, email host, and SMS messaging platform (Twilio), under confidentiality and data-protection obligations.
  • Healthcare and care-coordination partners involved in a resident’s care (physicians, home-health, hospice, pharmacies), with appropriate authorization from the resident or their representative.
  • Government regulators and law enforcement when required by law, including the California Department of Social Services.

As stated above, we never share text-messaging originator opt-in data or consent information with third parties or affiliates for marketing or promotional purposes.

Your California privacy rights (CCPA / CPRA)

California residents have the following rights with respect to their personal information:

  • Right to know what personal information we collect, use, disclose, and (if applicable) sell or share.
  • Right to delete personal information we have collected from you, subject to legal exceptions (for example, mandated record retention for licensed RCFE operations).
  • Right to correct inaccurate personal information.
  • Right to opt out of the sale or sharing of personal information for cross-context behavioral advertising. Dean and Grey Care does not sell personal information and does not share it for cross-context behavioral advertising.
  • Right to limit the use of sensitive personal information.
  • Right to non-discrimination for exercising these rights.

To make a request, email info@deanandgrey.care or call (916) 934-4234. We will verify your identity before responding and will respond within the timeframes required by law. You may also designate an authorized agent to make a request on your behalf.

Data retention

We retain personal information for as long as necessary to provide our services, comply with our legal and licensing obligations, resolve disputes, and enforce our agreements. Resident-care records are kept according to California Title 22 retention requirements. Website contact-form submissions are typically retained no longer than two years. SMS consent records are retained for the duration of the recipient’s relationship with us plus a reasonable period thereafter to demonstrate consent.

Security

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold. Paper intake and consent forms are kept in locked storage at our administrative office. Digital records are stored on access-controlled systems with permissions limited to authorized staff. Despite our efforts, no system is perfectly secure; please do not transmit sensitive medical or financial information through our website contact form.

Children’s privacy

Our website and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us and we will delete it.

Third-party links

Our website may include links to third-party sites (such as map services or California licensing pages). We do not control those sites and are not responsible for their content or privacy practices.

Changes to this policy

We may update this Policy from time to time. The “Effective date” above reflects the most recent version. Material changes will be posted prominently on this page.
